Common repetitive office tasks you should automate

No matter what job you do, if you spend any time at all in an office, there are bound to be some repetitive, time-consuming tasks that you should consider handing to automation.

In recent years, the scope and sophistication of Artificial Intelligence (AI) has improved considerably to the point that autonomous systems are now capable of performing many tiresome chores previously performed by humans.

Making effective use of your time is paramount in business and having you or your staff wasting time working on pedestrian tasks puts a drain on your resources and can potentially lead to decreased productivity and yield. Here are just a few tasks you should consider automating to free up time and improve your office efficiency.

Managing client data and relationships

Behind your staff, your customers are your company’s second greatest resource. It can take a long time to build up a loyal customer base so you should nurture your business relationships and give clients the care and attention they deserve.

Indeed, the well-respected Pareto Principle states that 80% of a firm’s trade is generated by just 20% of its clients so it’s vital you find ways to properly administer and monitor sales to identify the top spenders.

Customer Relationship Management (CRM) software can be used by firms to manage every aspect of their client purchasing journey, from the first contact through to after-sales care, follow-up emails and auditing sales to identify the biggest sources of revenue.

Finances and payroll

The majority of businesses tend to have fairly fixed monthly expenses which can benefit greatly from automation. In particular, Payroll can easily be handled by AI to make payments direct to your employee’s bank accounts, calculate deductions and automatically issue payslips via email.

Invoicing is another area that can be administered by AI including setting reminders for unpaid fees or generating and emailing recurring invoices to clients. In fact, if you look closely at how your company currently handles its finances, you’ll likely find several areas where you could automate your processes. As ever, the rule is to look for repetition and any payments or invoices that recur repeatedly would likely be handled more efficiently by AI.

Using software to help with hiring new staff

Hiring new employees can be a hugely time-consuming process which can put a significant strain on your company’s staff and resources. From trying to compare resumes to pre-screening candidates for interview, the traditional process of finding and on-boarding staff is massively inefficient.

Automation can significantly reduce the time spent sifting through applications by pre-screening applicants’ details and eliminating those who don’t fit the bill. Moreover, once you have decided who you’re going to employ, advanced HR software can transfer the applicant’s information directly into your existing payroll and employee databases, saving valuable time spent duplicating data.

Generate auto signatures for contracts

Not so long ago, joint contracts had to be signed then mailed using traditional post services – often resulting in long delays. These days, however, there is a huge range of automated systems available that can see you signing and mailing contracts digitally. Better yet, you can also set reminders in the document which will automatically alert the recipient and prompt them to sign and return if they delay completing the contract.
