Your School Fete Checklist

November 27, 2020 by Carter Leave a Comment

Planning a school fete can be quite a challenge. From allocating tasks to picking out the best Perth bouncy castle for hire, there’s a lot to get done! That’s why we’ve put together a list to help you stay organised.

  • Pick your teams

Select a few people for your host committee to help plan and budget for the event, delegate tasks, and lead different teams. You can do this by setting up posters around the school to encourage students to get involved, or by sending letters home to parents asking if they would like to participate. Volunteers are invaluable so round up a reliable group of helping hands. You could also consider asking local businesses to be event sponsors. Their wider reach can potentially add to the advertising strength needed to get people aware of, and excited about, the fete.

  • Pick a date

Plan to hold the fete on a day that will not clash with school exams, popular national events (footy season!), or any large local events. This way, you will not have to compete for crowds, vendors, or Perth bouncy castles to hire. Have a wet weather plan so the event doesn’t have to be called off after all the hard work put into planning it. Think about hiring gazebos or moving the fun to a large indoor location to provide some shelter from the rain.

  • Food and drink

Get in touch with local businesses to see if they want to have a stall at the fete. Food trucks are always a good idea! You might request for 10% or more of their profits to be donated to raising funds for the school fete and charge a small fee to set up a stall. Staff, students, and parents might like to take on the task of setting up a bake sale or bringing homemade snacks to sell. Fairy floss and popcorn machines are bound to be a hit too. Offer allergen-friendly alternatives so that no one misses out on the good food!

  • Main attractions

Hire some amusing rides to cater to different age groups. For the little ones, why not hire one or two themed bouncy castles? Event volunteers could host activities (think musical chairs, dodgeball, dance and freeze) within the inflatable walls! Perth bouncy castle hire companies often have a selection of other amusements too. Zorb balls, water slides, and obstacle courses would be great for warmer weather, while a synthetic ice rink would be a real treat in winter! Sprinkle smaller carnival-esque activities like dunk tanks, ring toss, and life-sized connect four throughout the event compound to add to the fun. Charge patrons a gold coin to participate in activities or at the entrance to help raise funds.

Having a good variety of activities not only gives people more incentive to stick around, but also shortens the queues – you don’t want people leaving if lining up for activities takes up most of their time! Be sure to check that there are working power and water sources, as well as a portable ATM for patrons to access cash easily. Convenience is a huge factor at any large event. Invite a local band or DJ to keep things upbeat and have everyone singing along to popular tunes. Magicians or clowns with balloon twisting skills offer guests something to take home to remember the day. Set up a photo booth with some accessories from the dollar store to get people taking pictures of themselves at the event and sharing them on social media in real time!

  • Community involvement

For a budget friendly music option, why not let school bands perform? Talent shows and craft corners allow people from the local community to get creative. Inviting local artisans to set up stalls could help draw a more diverse crowd. Organise a raffle and begin selling the tickets early – this is a staple of school fetes that can raise quite a bit of money. Start selling raffle tickets early by letting students bring some home to offer their friends and family, set up a raffle booth near the event entrance, and have volunteers walk around offering them to patrons. The raffle prize could be a bundle of goodies donated by the participating vendors.

  • Get the word out

Utilise the power of social media and create a hashtag and website or page for your event. In the weeks prior, get vendors and anyone else participating in the event to generate excitement online by posting and linking to the event website or page. Research which Perth companies with bouncy castle for hire offer large amusements – a giant water slide is sure to catch the attention of people passing by! It would look great on any social media content used to promote the event too. Put up posters around the neighbourhood and place leaflets in local shops to catch the attention of people outside of the local community who happen to be stopping by.

Now that you’ve done your research, go ahead and get the fun started!
